7 Steps to Creating a Virtual Knowledge Sharing Culture

Creating a knowledge sharing culture has never been more important, and in today’s world where more and more people are working remotely, you need to make sure that it’s set up in a virtual space that encourages employee engagement.

Here are the seven steps to creating a virtual knowledge sharing culture:

1. Define the type of knowledge you want to share

The first step is foundational: figure out exactly what type of knowledge or information you want people to share virtually in the organization to avoid over being overwhelmed with noise that doesn’t really matter.

2. Find the right format and tools

There is no shortage of knowledge sharing tools out there and many avenues you could go down to make it work. You need to figure out which is right for your organization – and there is probably more than one! Email, text, videos, intranet, LMS, and social media are all effective choices to store and maintain employee-generated virtual knowledge.

3. Define a process to monitor knowledge sharing

How is it going to work? Who’s going to own and validate the narrative on recurring content? Who’s going to monitor the shared content? Which employees share which types of content? How will the content be uploaded? Shared? Archived? 

4. Roll out the platform 

Once you’ve got the foundation all laid out, it’s time to roll out the tools and expectations across the whole organization. Don’t restrict it to a group of pre-selected knowledge sharers. Everyone has to see that they can contribute, that it’s a global company evolution. Have leadership communicate on it’s importance, and encourage the whole team to make it a daily priority!

5. Find your knowledge sharing champions

This is a fun one: nominate a group of strategic ambassadors who you can rely on to create content on a regular basis. This will trigger the dynamic and the momentum for change so that others imitate and it becomes a habit. Include mid-management so that it inspires their teams!

6. Encourage and reward knowledge sharing

Take every opportunity to show how much the organization values shared knowledge, whether that comes from praise from leadership, positive communication, awards or badging that encourages gamification, and more.

7. Make it part of your organization’s DNA

Once you’ve got it rolled out and the dynamic is well started, embed knowledge sharing in your company values and employee incentives. Ingrain it into everything you do! Soon, it will become second nature to your team and synonymous with your company’s success.
